Yes, you can create multiple Students at once by using the "Quick Entry" feature on the Student List page. Click the "Quick Entry" button
while on the Student List page and type in or paste in as many Student names as you wish to create. You can enter one Student
per line, and can only use a first name and a last name. Example:
Lily Tomlin
Tom Cruise
Paul Newman
If a name has spaces in it, surround it with quotes. For example:
Martin "Van Buren"
The Student Quick Entry feature only accepts names in a specific format. The format is:
[FIRSTNAME] [LASTNAME]
You can enter multiple names, if necessary. For example:
[FIRSTNAME] [LASTNAME]
[FIRSTNAME] [LASTNAME]
[FIRSTNAME] [LASTNAME]
If the name does not correspond to these formats, the name is ignored.
NOTE: If a name has spaces in it, surround it with quotes. For example:
Martin "Van Buren"
When you create a Student, you become the Primary Owner of that Student's record in SPED Views. Only you can access that
Student and create Goals and enter Assessments for him or her. However, if there are other Profiles on your installation of
SPED Views, you can grant the other Profiles the ability to also give Assessments and create Goals.
To grant another Profile access to a Student, go to the Student Edit page, click on the "Access" button, and check the box
next to the Profile you wish to add. The newly added profile will
not be able to change basic student details, but they will
be able to add Goals and Assessments, edit notes and contacts, and enter data.
NOTE: You can revoke access privileges at any time by returning to the Access panel and unchecking the box next to the
name of the Profile you want to remove.
You can have as many Students as you want in SPED Views. If your license expires or you are using a trial license, however, you
will be limited to collecting assessment data for 1 student only. Previously entered data will be read-only.
NOTE: SPED Views is free for the 2019-2020 school year! There are no license restrictions during this exciting pilot period!
Absolutely. Your Baseline value can be lower OR greater than the Target value. The only restriction is that each target value forms a linear progression in one direction only between the two endpoint values. In other words, all targets must be increasing or decreasing,
and cannot switch direction in the middle (e.g. 10-20-30-40-50 is fine, but 10-30-20-15-50 is NOT).
Tasks cannot be edited or deleted once data has been collected for them or once they have been assigned to an Assessment.
If they are assigned to an Assessment but no data has been collected for them, you can remove them from the Assessment on the Assessment Edit page, and then edit or delete them from the Goal.
If you still cannot edit or delete a Task after removing it from all Assessments, check to make sure that there are no inactive Assessments with the Task assigned to them.
Yes
Yes, you can change an Goal's name at any time.
To add an existing Goal for a Student, go to the Goals page for the Student you want to place the Goal, hit the "Clone Existing Goal". Next,
select the Goal you want to clone, and the Student from which you want to clone it.
When you clone an existing Goal, you will copy all Goal details, including the Assessments created for that Goal and any uploaded worksheets.
Cloning does not copy data that has been gathered for the Assessments, however.
NOTE: Goals that are marked as "Favorites" will be displayed at the top of the existing Goal list. To mark a Goal as a Favorite, edit the
Goal and check the "Favorite" checkbox.
To mark a goal as a Favorite, go to the Edit Goal page, and check the "Favorite" checkbox. Once marked as a "Favorite", a Goal will be displayed at the top of the Goal
list when cloning Goals.
Event Lines can be used to add information to a Goal chart or a Task chart. For example, if a Student missed 3 weeks of school because of
an illness, you can mark these key dates on the chart to easily identify the absence. The Event Lines can be good visual reminders of
dates and times where performance metrics are likely to change.
NOTE: To add "Event Lines" to a Goal chart or Task chart, go to the Goal Data page by clicking on "View Data" on the Goal List page. Next,
while viewing the Goal Mastery Chart or the Task Mastery Chart, click the "E-Lines" button. This will open the "Add/Remove Event Lines"
dialog. Add a date a text label, and select a color, then hit "Save".
NOTE: To remove "Event Lines" from a Goal chart or Task chart, go to the Goal Data page by clicking on "View Data" on the Goal List page. Next,
while viewing the Goal Mastery Chart or the Task Mastery Chart, click the "E-Lines" button. This will open the "Add/Remove Event Lines"
dialog. Click the "Remove" button, click the "X" next to the Event Line you want to remove, then hit "Save".
Tasks cannot be deselected from an Assessment once data has been collected for them.
An Assessment that is "Saved" but not marked as "Finished" will not be counted in stats. An Assessment should only be "Saved" when you
want to go back and add notes to it, or re-score it. When you think an Assessment is "complete", use the "Finish and Exit" button.
NOTE: You can still edit "Finished" Assessments by clicking the "Unlock" icon on the top of the Assessment form; make sure to "re-Finish" the
Assessment once your changes are complete.
NOTE: You can always add files to an Assessment, whether it is Finished or not.
No. Currently, SPED Views will only work on desktops and laptops. SPED Soft has plans to release a SPED Views Mobile Companion app in the future,
however. If you want this feature bumped up in priority, email us at support@sped-soft and let us know! We'd love to hear from you!
Yes, you can change an Assessment's name at any time.
An Assessment will only show up in charts and reports if it is marked as "Finished". To "Finish" an Assessment, hit the "Finish and Exit"
button when you are done with an Assessment instead of the "Save" button.
NOTE: Assessments can be re-opened for editing by clicking the "lock" icon and unlocking them. If they are not saved with the
"Finish and Exit" button, they will remain unlocked and will not show up in reports. Make sure to always save an Assessment with
"Finish and Exit" if you are done editing it and adding data.
You can schedule Assessments in two ways:
On the Assessment Edit page: In the Assessment Details section of the Assessment Edit page, each day of the week is shown with a text box. You can click on a day of the week to schedule the Assessment for that day of the week. Click again to schedule the Assessment an additional time for the day, or double-click to remove it entirely from that day. Make sure to hit "Save" after you are done.
On the Goal Scheduling page: Open the Goals page for the Student you wish to schedule a Goal for. Click the "Schedule" button to bring up the Assessment Scheduling page. On this page, you will see a list of all Assessments belonging to the Goal. Click on a day of the week to schedule an Assessment for that day of the week. Click again to schedule it an additional time for the day, or double-click to remove it entirely from that day. Make sure to hit "Save" after you are done.
NOTE: By default, SPED Views only shows Monday-Friday for scheduling. You can show Saturday and Sunday by enabling weekend days on the Settings page.
The values on the Goal Alert System tiles are based on the following criteria:
Low Activity: The Student has not been assessed in the previous 7 days (this can be changed in Settings).
Intervention: The Student's Trend Line is completely below the Aim Line.
Monitor: The Student's Trend Line crosses the Aim Line.
Possible Mastery: The Student's Trend Line is completely above the Aim Line.
NOTE: For more information about the Trend Line, click HERE. For more information about
the Aim Line, click HERE.
The Action Board displays a list of all Assessments scheduled to be given today.
On the left side, it shows how many Assessments are scheduled
and how many have been given, as well as how many total Students have Assessments remaining and how many Students are complete. These two
values may or may not be the same (if Students have multiple Assessments, the values will differ).
On the right side of the page, each Assesment that is scheduled for today is displayed in a separate tile with the Student's name. To
mark the Assessment as "started", click the tile one time. To mark it complete and enter data for it, click again. Or, double-click to just
complete it and enter data immediately.
NOTE: By allowing you to mark an Assessment as started, assistants and aides in your classrrom can declare that they are currently working
with the Student and will be running the Assessment; this will prevent overlap and allow you to see your classroom status at a glance.
You can change your address on the Settings page, in the "Letterhead Address" section.
NOTE: You can also lightly accent your address with bold, italicized, or underlined text by surrounding the target text with [b][/b], [i][/i], or [u][/u]. The text
will be displayed with this formatting on Assessments and Reports!
The Goal Mastery percentage is calculated based on how close each Task in the Goal is to the End of Year Target value, while also taking into consideration the Baseline starting value.
For example, if a Goal has a Baseline of 0% and a Target value of 80%, a Task that last scored 60% would be considered to be at 75% of the Goal value (60/80), and hence a 75% Goal Mastery percentage.
However, if the same Goal had a Baseline of 20%, then a 60% score would be considered to be at 66% Goal Mastery because the Task score was 40 out of 60 percentage points between 20 and 80. In other words,
we calculate how far a Task has to go between the Baseline and the Target, and calculate how far along that path the score is.
When there are multiple Tasks for a Goal each Task's Goal Mastery percentage is calculated as normal,
but each task can only contribute a fraction towards the "overall" Goal Mastery percentage; the fraction it can contribute is equal to the fraction of the whole the Task makes up against the total number of Tasks in the Goal.
For example, if there are two tasks in a Goal, each Task's Goal Mastery percentage can only contribute 50% towards the overall Goal Mastery percentage. If
there are three tasks in the same Goal, each Task would only contribute up to 33% towards the overall Goal Mastery percentage. As a more concrete
example, if there are two Tasks in a Goal, and one Task is at 80% Goal Mastery, then it would only contribute 40% towards the overall Goal Mastery
percentage (80% / 2). If there were three Tasks in the same Goal, the Task would only contribute 23% (80% / 3).
NOTE: The Goal Mastery percentage is calculated using assessments from the current week, if available. If not all Tasks have been assessed
in the current week, the previous week's Task values will be used for the missing Tasks.
The Trend Line is calculated by taking a set of averages over a period of time, and plotting the averages from the start of the trend period
to the end of the trend period.
By default, SPED Views tries to calculated a Trend Line using the previous 10 weeks' worth of data. A plot point is created for each week
representing the average for the week, and then a line is generated that represents the average of all the plot points during that period.
NOTE: If there is not enough data for the specified Trend Line Period (e.g. 10 weeks). SPED Views will use what it can and extrapolate
from there. At no time, however, will SPED Views extend longer than the number of weeks you have specified.
The Aim Line is created by drawing a straight line from the Baseline value to the Target value using the starting date and ending date
from the Goal's Milestones
The Task Score is calculated by averaging each Trial given for the Task. For example, if a Task has 3 Trials, and the
values were 40, 50, and 60, the Task Score would be "50".
NOTE: The Charted Value is calculated by averaging all Task Scores on an Assessment.
To back up your SPED Views data, click the "Help" link to go to the Help page. Click the "Backup" button, then click
"Backup Now". SPED Views will export your data as a ZIP file. Backups can take a few minutes, depending on the amount of data you have entered in the system. After the
backup is complete, you must pick a directory to save the ZIP.
NOTE: Computer crashes happen. Hard drives fail. We recommend you backup your data as often as possible! SPED Views will remind you
to back up your data every 30 days (this can be disabled in settings).
SPED Views stores student data, including names, birth dates, addresses, phone numbers, and test scores. For the protection of your
students, and yourself, passwords are always required.
A valid email is the only way SPED Soft can reset your password if you ever get locked out. Password Reset Request Emails are sent
to this address when a Password Reset Request is created. We do this to protect your account as much as possible!
NOTE: SPED Soft is a small, teacher-first company. In no way will we share your email with any third parties. Ever.
We're sorry that you are locked out of your account! In order to get access, you need to send a Password Reset Request to SPED Soft. You
can do this on the
HELP page inside SPED Views.
To send a Password Reset Request, click the "Help" link at the top of the page, then click the "Password Help" button. lastly, click
on the name of the Profile that you want to restore access. A Password Reset Request will automatically be created for you, and a
Password Reset Request Email will be delivered to the e-mail address in the profile. Enter the code sent via email in the text box
below the profile list to reset your account.
NOTE: For security reasons, we can only send Password Reset Request emails to the email that is listed in the Profile. We take
Student data seriously!
Yes, you can have multiple profiles in SPED Views. Your license includes yourself as the Primary User, and any other assistants or
aides that are sharing your computer with you. Their data will be stored in the same database as yours, and will be backed up
together with yours when you use the "backup" feature.
Yes, you can use your copy of SPED Views on multiple computers. However, your license only allows the copy to be used on
computers where you are the primary user. In other words, if you have a laptop and a desktop machine at work, you can use
your license for SPED Views on both machines. If you have a computer at home that you like to work on, you can also use
SPED Views on there. However, you
CANNOT use your license for SPED Views to install a copy for another teacher. That
teacher will need to purchase their own license.
NOTE: The good news is that SPED Views is free to pilot for the 2019-2020 school year. Other teachers that want to use
SPED Views can download their own copy!
NOTE: Please be aware that installations of SPED Views on different machine will NOT share the same database. SPED Soft
will add a "sync" option to the SPED Views in the future.
All data in SPED Views is stored on your computer. No data is stored in the cloud, or on our servers. We created SPED Views as an
offline-tool so that you can have peace of mind that your data is secure and not floating around in cyberspace.
If you want to see where your data is stored exactly, you can open the data folder by going to the Help page, clicking the "System Info"
button, and clicking the "Open Data Folder" button.
There is currently no enterprise version of SPED Views. Our current priority is you, the teacher, first and foremost. We feel that many school
districts have left SPED teachers behind, and not given them the tools to succeed. Therefore, we started SPED Views with the
goal to give better tools directly to the teachers, without waiting for school districts to fall in line. SPED Views is the result.
It is our hope that we can offer an enterprise version of SPED Views if there is demand. It is on our Roadmap, but there is no
timetable for it yet. We are focusing on the desktop version of SPED Views first!
SPED Views Live Sync is the feature that connects SPED Views to mobile devices. With SPED Views, a mobile device running
the SPED Views Mobile Companion, and Live Sync
enabled, you can give assessments right from your phone or tablet and have them automatically added to SPED Views. You do
not need to be near your computer. Your computer doesn't even have to be on! Live Sync automatically syncs up your computer
with your mobile assessments the next time you start SPED Views. With Live Sync, you can give assessments on field trips, on
the playground, or on the flo
or with your students. You can even have multiple aides entering data from different mobile
devices at the same time!
Download the SPED Views Mobile Companion at: http://sped-soft.com/app.
The Live Sync button at the top of the SPED Views application bar indicates whether Live Sync is active or not. If
Live Sync is GREEN, Live Sync is active. If Live Sync is ORANGE, Live Sync is paused because the computer is offline. If
Live Sync is BLUE, Live Sync is inactive / disabled. In the latter case, your key may be invalid or you may not have a key.
TIP: Hold your cursor over the Live Sync button. If you have a key, it will be displayed in the hover tooltip, along with
the current status of the Live Sync connection.
Hold your cursor over the Live Sync button. If you have a key, it will be displayed in the hover tooltip, along with
the current status of the Live Sync connection. You can also see the Live Sync Key on the "Settings" page, "Application"
tab, in the Live Sync section.
If you don't have a key, click on the Live Sync button to register a new one. Make sure you write it down!
Open the SPED Views Mobile Companion on your mobile device, and enter the Live Sync Key configured within SPED Views
into the mobile app. If your key is valid, the mobile app will let you know right away.
IMPORTANT: LIVE SYNC KEYS ARE CASE SENSITIVE!
Once you have entered a key in the mobile devices, you should be able to see today's students on the Action Board,
and a list of students on the Students page. For more information about using the Mobile Companion, see the
Mobile Companion section on this help page.
Once you have entered a key in the Mobile Companion, you can begin entering assessments. Click on the student and
the assessment you want to enter data for. Enter the data, and click "Submit". It's that simple!
After you enter assessments on the Mobile Companion, the data will be automatically sent over to the SPED Views
application. You do not need to be near your SPED Views computer. If SPED Views is "off", the data will be sent
to the computer the next time SPED Views is activated.
As many as you want! There is no limit. Every aide in your classroom can use the same Live Sync key and send
assessments right to your computer!
The Live Sync server stores as little data as possible to make your mobile experience successful. But most importantly:
ALL DATA IS FULLY ENCRYPTED WITH YOUR LIVE SYNC KEY AT ALL TIMES
What does this mean? In short, it means that a typical computer would take many years to break the shortest Live Sync key SPED Views offers - 7 characters.
Not even SPED Soft can read your data. Your key is generated on your local machine, and is not transmitted openly to SPED Soft. We don't know your key, and so
we can't read your data. We also allow you to use 14, 21, and 28 character keys that even a modern super computer could not break with multiple years of dedicated computer time. The length of your key can be configured on the Settings page.
Assessment results are stored on the Live Sync server only as long as it takes for the SPED Views application to pick them
up. In many cases, this can be as little as thirty seconds! As soon as SPED Views has recorded the data, it is
immediately deleted off of the server.
Student names, grades, and genders are cached on the server so the Mobile Companion can display them. Once again,
this data is encrypted with your key, and only your key can read it. Having this data allows the mobile app to
display it when needed. HOWEVER, you can hide some of this data on the Settings page. You can choose to hide names, hide
grades, hide numbers, and even use initials only. In these cases, you will rely on the student icons and colors you
have configured within SPED Views.
If you delete data from SPED Views, it will be reflected in the Mobile Companion as long as SPED Views is online. However,
when records are deleted while SPED Views is offline, the app and the server can become out of sync. In this case, you
need to resync with the server. To resync:
1. Go to Settings
2. Click the Application Settings button
3. Go to the Live Sync section, and make sure that Live Sync is TURNED ON
4. Click the "RESYNC WITH SERVER" button
